Any questions related to the rescheduling of games should be communicated to AGSL Director of Scheduling (Bob Dilger) who will work with the Loudoun County Softball Alliance’s scheduler (Eliot Meyers), the other leagues’ schedulers, and the county to resolve any issues.  

WHO CANCELS GAMES?

The Loudoun County Softball Alliance schedules our games (see http://www.njspwc.assn.la/MasterGameSchedule.asp?org=softballinloudoun.com).

Teams are required to play the schedule they have been provided by the Alliance unless it is determined that the field is not playable by the either the county (see the field closure website here: https://www.loudoun.gov/fieldstatus), the city of Leesburg (for the field status of Freedom Park contact the Town of Leesburg at 703-737-7166), or by the umpire at game time if the game is umpired (this decision is normally reached after consultation with the head coaches). If the game is not umpired (e.g., games involving 6U teams), the head coaches may cancel the game if both coaches agree that the field is not playable, even if the county has not closed the field.  

CAN GAMES BE RESCHEDULED FOR REASONS OTHER THAN FIELD CONDITIONS?

Games are only rescheduled due to field issues. If a team is having difficulty fielding enough players, teams are allowed to use guest players and borrow players from the opposing team to avoid a forfeit.

CAN GAMES BE RESCHEDULED EARLY IN ANTICIPATION OF BAD WEATHER?

Generally speaking, AGSL does not reschedule games in advance in anticipation of bad weather. This requirement is due to our contractual relationships with our umpires and, sometimes, the weather forecast proves to be inaccurate. 

HOW ARE GAMES RESCHEDULED? (10U, 12U, AND 13+ SENIOR TEAMS)

Once a game has been canceled, coaches should work with the opposing team’s head coach to find a mutually acceptable date, time, and place; almost always at one of the home team’s scheduled practices or at a field provided by the home team’s league.

The coaches' email addresses are included on the Loudoun County Softball Alliance’s website under the teams page (see http://www.softballinloudoun.org/Bulletins.asp?org=softballinloudoun.com).

Coaches should include their league schedulers and the Loudoun County Softball Alliance’s scheduler, Eliot Meyers ( ), in this email chain to facilitate the location of suitable fields. Eliot Myers is especially helpful in this regard as he is responsible for finding umpires for these games and placing the game in the Alliance’s master schedule. 

Importantly, the Alliance’s scheduler (Eliot Myers) requests that the email subject line include the age group, date of the missed game, and both team names. The Alliance’s scheduler often receives dozens of requests to reschedule games after inclement weather. This information in the subject line helps to better manage these many requests. 

Once an agreement is reached among the head coaches, it is submitted to the Alliance scheduler for approval. If the request is approved, the Alliance scheduler enters the game into the master schedule, and, if necessary, gets county and league approval. 

The AGSL Director of Scheduling will then add the game to the AGSL scheduler's spreadsheet (which is used by AGSL to keep track of AGSL field availability) and will copy the final approval to the AGSL Director of Coaches (Courtney Geuther) for her records.

HOW ARE GAMES RESCHEDULED? (6U AND 8U TEAMS)

In addition to the above, 6U and 8U coaches should also include Tim Boone ( ) in their email chain when their games involve an umpire. Tim leads the youth umpire program and schedules umpires for 6U and 8U games (when those games use umpires). 

Although the Alliance’s scheduler (Eliot Myers) does not provide the umpires for these games he should continue to be included in the email chain because he enters the rescheduled game into the Loudoun County Softball Alliance’s master schedule.
